“Personal Data Processing Policy”

This Policy establishes the procedure and terms for processing personal data on the website perevod-ekb.ru in accordance with Federal Law No. 152-ФЗ dated 27.07.2006 “On Personal Data.”

2. Scope of the Policy

The Policy applies to information obtained by the Controller through the Website, feedback forms, email, telephone, messengers, and in the provision of translation, notarization, apostille, legalization, and other related services.

Consent to personal data processing, the use of optional cookies, and the receipt of advertising messages is obtained separately where such consent is required.

3. Categories of Data Subjects and Personal Data

The Controller may process data of Website visitors, clients, customers, their representatives, service recipients, and individuals whose information is contained in submitted documents.

Depending on the inquiry, the following may be processed:

surname, first name, and patronymic;
telephone number and email address;
the content of the inquiry, information about the order and requested service;
files and documents voluntarily submitted for cost assessment or service provision;
the address for delivery or receipt of documents, if required to fulfill the order;
payment and contractual information to the extent necessary for settlements and record-keeping;
IP address, browser, operating system, and device information;
date, time and source of the visit, pages visited and actions taken on the Website;
cookies, browser identifiers, localStorage values, UTM tags, yclid, and other advertising attribution parameters.

Documents submitted for translation may contain personal data of third parties, health information, criminal records, and other special-category data. Such data is processed only to the extent necessary to handle the inquiry or perform the contract. Where the law requires separate written consent, the Controller may request it before the relevant processing begins.

The Controller does not use photographs, facial images, or other information from documents for biometric identification unless a separate purpose and legal basis for doing so have been established.

4. Purposes of processing

ensuring the operation, security, and protection of the Website against abuse;
receiving and reviewing inquiries, providing feedback, and calculating service costs;
preparing, concluding, performing, and terminating contracts;
receiving, processing, translating, preparing, transmitting, and issuing documents;
maintaining accounting, tax, and contractual records;
complying with legal requirements and protecting the Controller’s legitimate interests;
analyzing Website traffic and effectiveness after consent to analytical cookies has been obtained;
sending advertising and informational messages only with separate consent.

5. Legal Bases

consent of the personal data subject;
actions taken at the request of the data subject before entering into a contract;
conclusion and performance of a contract;
fulfillment of obligations established by the legislation of the Russian Federation;
exercising the Controller’s rights and legitimate interests, provided that the rights and freedoms of the data subject are respected.

6. Actions Involving Personal Data

The Controller may collect, record, systematize, accumulate, store, update, retrieve, use, transfer in cases provided for by law and this Policy, anonymize, block, delete, and destroy personal data, both with and without the use of automation tools.

The Controller does not sell personal data or provide it to an unlimited number of persons.

Access to data is granted to employees and engaged contractors only to the extent necessary to perform their duties, provided that confidentiality and security requirements are observed.

After the relevant consent has been obtained, the following service is used for web analytics: “Yandex Metrica”, provided by YANDEX LLC (119021, Moscow, 16 Leo Tolstoy St., building 16). The service may process technical data and identifiers in accordance with its terms and privacy policy.

Data may be transferred to government authorities and other persons in the cases and manner established by law.

8. Storage periods

Personal data is stored no longer than required by the purposes of processing, the contract, limitation periods, and mandatory document retention periods. Data relating to an inquiry that did not result in the conclusion of a contract may be stored for up to three years after the last interaction, unless the Controller has established a shorter period or a substantiated deletion request has been received.

Data used for advertising and informational messages is processed until separate consent is withdrawn. Once the purpose has been achieved, the data is destroyed or anonymized unless further storage is required by law.

9. Rights of the Personal Data Subject

The personal data subject has the right to:

receive information about the processing of their personal data;
request the correction, blocking, or deletion of incomplete, outdated, inaccurate, or unlawfully processed data;
withdraw consent to the processing of personal data;
opt out of advertising and informational messages;
challenge the Controller’s actions before Roskomnadzor or a court.

A request or consent withdrawal should be sent to info@perevod-ekb.ru. To protect the data, the Controller may request information confirming the applicant’s identity.

10. Protection of Personal Data

The Controller applies legal, organizational, and technical measures aimed at protecting data against unauthorized access, alteration, blocking, copying, provision, dissemination, destruction, and other unlawful actions.

11. Cookies and Yandex Metrica

Required technical cookies are used for the operation and security of the Website. Analytical cookies and the Yandex Metrica code should be loaded only after the User has made the appropriate choice. If the User refuses, the Website’s main functions remain available.

12. Final provisions

The Controller may update the Policy when legislation, the types of data, or processing procedures change. The new version takes effect on the date of publication unless another period is specified in it.
